 Managing user groups

A user group is a named collection of user accounts. Once a group exists, you can choose it in a project's access settings or as the recipient of an email, instead of picking people one at a time. This article covers creating groups, adding people and looking after them.

#### Before you begin

The **User groups** page is available to users with the Administrator role. Other roles will not see it under **People**.

What a user group is
--------------------

A group can hold any user, whether they are staff or a member of the public. It is a different thing from the following:

- **Teams** give their members a role and scope access to the team's projects. See [Understanding and Managing Teams](/articles/11792463455375-Understanding-and-Managing-Teams).
- **User types** (**Public member**, **Content manager** and **Team member**) describe the kind of access an account has. They are set by the account's roles, not chosen.
- **Stakeholder groups** in SRM collect stakeholder records, not user accounts. See [Stakeholder groups](/articles/groups).

Create a user group
-------------------

1. In the left-hand menu, click **People**, then **User groups**.
2. Click the round **+** button at the top right of the screen.
3. Enter a **Title**.
4. Enter a **Summary**, one line saying what the group is for.
5. Optionally, add a **Description**.
6. Click **Save**.

The **User groups** list shows each group's title, summary, number of members and when it was last updated.

Add people to a user group
--------------------------

You can add several people at once from the **Users** list, or add one person to groups from the **Groups** field on their **Edit** form.

1. In the left-hand menu, click **People**, then **Users**.
2. Tick the box beside each person you want to add. You can do this on any tab: **All users**, **Public members**, **Content managers** or **Team members**. To include everyone matching your current search and filters, click **Select all** results.
3. Click **Add to group** in the bar that appears above the list.
4. In the **Groups** field, start typing and choose one or more groups.
5. Click **Save**. A message tells you how many users were added.

The same **Add to group** action appears on the **Members** tab of a team or a user group. To see which groups one person belongs to, open them from the **Users** list and click the **View** tab. Their groups are listed under **User groups** in the **Access** card.

Look after a user group
-----------------------

Click a group in the **User groups** list to open it. It has three tabs, plus a **More...** menu:

- **View**: the group's summary and description, its member count, and its author and dates. A **View all members** link opens the **Members** tab.
- **Edit**: change the **Title**, **Summary** or **Description**, then click **Save**.
- **Members**: everyone in the group, with their email, roles, teams, access and when they were last active. Search by name or email, or use **Filters** and **Columns**. The **Teams** column and the **Add to team** action appear when teams are enabled on your site.

### Remove people from a user group

1. Open the group and click the **Members** tab.
2. Tick the box beside each person you want to remove.
3. Click **Remove from group**, then confirm.

This takes the person out of this group only. Their account, their other groups, their teams and their roles are not changed.

### Delete a user group

Open the group, click **More...**, then **Delete**.

Where user groups are used
--------------------------

- **Project access.** In a project's restriction settings, choose groups in the **User groups** field to let their members open the project. See [Manage project restriction settings](/articles/9180676913551-Manage-project-restriction-settings) and [How to set up a Private Consultation](/articles/10346889365391-How-to-set-up-a-Private-Consultation).
- **Email recipients.** When you build an email, choose groups in the **User groups** field to send to every member. See [Sending emails](/articles/10500015158799-Sending-emails).

To create and edit individual users, see [Create and edit users](/articles/9176782341263-Create-and-edit-users).
